Personal Data Protection Policy

At Zavod Novo mesto, we are aware of and respect the privacy of our visitors; therefore, we handle their personal data responsibly, carefully, and in accordance with the regulations and interim acts in force in the Republic of Slovenia and the European Union. Access to personal data is granted only to authorised employees and contractual processors, to the extent and for the purposes strictly necessary for the smooth running of work processes, the provision of services, and the fulfilment of rights and obligations arising from contractual relationships with the client.

We undertake not to sell, lend, or otherwise disclose to third parties the personal data you provide through our websites or in any other way. All data will be treated as confidential and will be used solely for internal records and for the purposes for which it was provided. Your data will be carefully protected against loss, misuse, unauthorised access, disclosure, alteration, or destruction.

Zavod Novo mesto collects personal data of individuals from various sources. In most cases, they are provided directly by visitors who choose our services (such as ticket sales and purchases for events, registration for participation in a conference). Data may also be collected at events or through subscription to newsletters.

Individuals whose personal data is processed may contact the Data Protection Officer directly regarding any questions about the processing of their personal data and the exercise of their rights under applicable data protection legislation.

Types of Personal Data Collected and Processed

In carrying out its activities, Zavod Novo mesto collects and processes the following categories of personal data: name and surname, contact details (address, e-mail, telephone number), web cookies, password in hidden form, IP address of the device used to log in, status (e.g. student, retiree, membership in professional associations) for the purpose of applying discounts, and other data entered in the registration form for a specific event or activity. Zavod Novo mesto is not responsible for the accuracy of data provided by the user.

Zavod Novo mesto keeps records of processing activities, which indicate the types of personal data and the purposes of their processing.

Legal Bases and Purposes of Processing

1. Processing for the purpose of providing services: Zavod Novo mesto processes collected personal data to deliver its services, i.e. fulfil orders (e.g. notifications about the date and time of an event, sending of information material, invoices, everything related to the order), monitor customer satisfaction (including complaints), and other necessary communications related to the order via different channels.
2. Processing based on consent: Processing of personal data may also be based on the individual’s explicit consent, allowing Zavod Novo mesto to use their data for the following purposes defined in the consent:
   • receiving general news (updates, benefits, offers, invitations to events, participation in prize games, surveys and research);
   • receiving customised offers of our services and other news, benefits, invitations to events, prize games – including for segmentation purposes;
   • receiving personalised offers: based on analysis of shopping habits, past purchases, interests, personal characteristics (especially analysis of ad openings, link clicks, visual material, surveys), Zavod Novo mesto will create a personal profile and provide tailored offers.

Consent is voluntary and not a condition for receiving services. Withdrawal of consent at any time does not reduce rights arising from a contractual relationship or impose additional costs.

Withdrawal of Consent

Consent is valid until withdrawn. Upon partial or full withdrawal, Zavod Novo mesto will no longer process the individual’s data for the withdrawn purposes. Withdrawal can be submitted in the same form as consent was given (online, in writing to Zavod Novo mesto, or orally at the office). Withdrawal does not affect the legality of prior processing.

Individuals may also unsubscribe from specific messages directly via the medium on which they received them. The opt-out will be processed immediately, or within fifteen days at the latest.

Categories of Data Users

Users of personal data include Zavod Novo mesto employees, authorised partners, and contractual processors bound by law, data processing agreements, or confidentiality agreements. More detailed information is available on request from Zavod Novo mesto’s Data Protection Officer.

Data may also be disclosed to third parties where required by law (e.g. Financial Administration of the Republic of Slovenia, courts, police).

Retention of Personal Data

The retention period depends on the legal basis and purpose of processing. Data is kept only as long as necessary to achieve the purpose for which it was collected or further processed. After that, data is deleted, destroyed, blocked, or anonymised unless another legal basis applies or it is needed to establish, exercise, or defend legal claims.

Rights of Individuals

Zavod Novo mesto ensures that individuals can exercise their rights under data protection laws, including:

• right of access;
• right to rectification;
• right to erasure (“right to be forgotten”);
• right to restriction of processing;
• right to object;
• right to lodge a complaint with the supervisory authority.

Requests must allow for identification of the applicant and may be made orally at Zavod Novo mesto’s office, in writing, or by e-mail. Responses will be provided without undue delay and at the latest within one month.

Website Use

When visiting our website, certain data (IP address, date, time, referring page) is stored on the server. This data is anonymous and used only for statistical purposes.
